Privacy Policy

Nevarez Marketing (“Nevarez Marketing,” “we,” “us,” or “our”) provides marketing services and operates Cierra, a business receptionist and scheduling platform. This policy explains how we collect, use, disclose, and protect information when you visit our website or use Cierra.

Google Calendar: When a business connects Google Calendar to Cierra, we use Google data only to provide the calendar features the business requests, such as checking availability and creating, updating, or deleting appointments. We do not use Google user data for advertising, sell it, or use it to train generalized AI or machine-learning models. We do not transfer Google user data except as needed to provide or secure these features, comply with law, or as part of a merger or acquisition. Our use of information received from Google APIs also follows the Google API Services User Data Policy, including its Limited Use requirements.

Information we collect

• Account and business information: user name, email address, password hash, business name and contact details, business settings, services, and frequently asked questions.
• Customer and appointment information: names, phone numbers, email addresses, appointment times, service selections, status, and notes entered by a Cierra business.
• Call information: caller phone number when available, call status and duration, and call transcripts, summaries, or outcomes generated or received through the receptionist service.
• Google Calendar information: the connected Google account email, calendar availability and event information needed for scheduling, and OAuth access and refresh tokens used to maintain the connection.
• Website and support information: information you submit when contacting us, plus basic technical information such as browser and device data that may be recorded by hosting, security, or analytics tools.

How we use information

We use information to operate and secure Cierra; provide receptionist, customer-management, and appointment features; connect and synchronize Google Calendar when authorized; maintain accounts; respond to support requests; administer billing when applicable; prevent abuse; and comply with legal obligations.

Google Calendar data and permissions

If you connect Google Calendar, Cierra requests permission to view and manage calendar events, check free/busy availability, and identify the connected Google account email. Cierra uses this access to show availability and carry out scheduling actions requested through the service. Calendar OAuth tokens are stored with the business’s Cierra connection record and are used to make authorized API requests and refresh access. A business can disconnect its Google Calendar from its Cierra settings or contact us to request help disconnecting it. Disconnecting revokes Cierra’s use of the saved connection; it does not delete events already created in Google Calendar.

How we share information

We share information with service providers that operate parts of the service, only as needed for their functions. These include:

• Google: calendar and account authorization features chosen by the user.
• Telnyx: telephone connectivity and the currently configured hosted receptionist/AI call processing.
• Amazon Web Services (AWS): application hosting and infrastructure for Cierra.
• Other providers: payment, email, analytics, or security providers where those features are enabled.

We may also disclose information when required by law, to protect the rights and safety of users or the service, or in connection with a business transfer. We do not sell Google user data or share it with third parties for their advertising purposes.

Calls, transcripts, and recordings

Cierra stores call logs and may store transcripts, summaries, and outcomes to provide call history and receptionist features. Telephone and AI processing is currently handled through Telnyx according to the service configuration. Cierra’s application code does not save the audio file from Telnyx’s recording callback; this does not determine whether Telnyx retains audio under its own configuration or policies. Businesses are responsible for providing any notices and obtaining any consent required by applicable call-recording laws.

Retention and deletion

We retain information while it is needed to provide the service, maintain business records, resolve disputes, enforce agreements, and meet legal obligations. Business owners can manage some records in Cierra. To request access to, correction of, or deletion of personal information, or to request deletion of a Cierra business account and associated data, contact us using the details below. We may retain limited information where law permits or requires it, and backups may take time to expire. Disconnecting Google Calendar does not itself remove appointments already created in Google Calendar; manage those events in Google Calendar.

Security

We use access controls and other safeguards intended to protect information. No internet transmission or storage system can be guaranteed to be completely secure. Contact us if you believe information associated with your account has been accessed improperly.

Your choices and privacy rights

You may disconnect Google Calendar from Cierra settings, update certain account or business information through the dashboard, and contact us to submit a privacy request. Depending on where you live, you may have additional rights to know, access, correct, delete, or limit certain uses of your personal information. We will verify requests as required by law.

Children

Cierra is a business service and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13.

Changes to this policy

We may update this policy as our services or legal obligations change. We will post the updated policy here and revise its effective date. If a change materially affects how we handle information, we will provide additional notice where required.
